Evaluation and CME Overview
The American Society of Clinical Oncology’s (ASCO) Oncology Training Program Directors’ Retreat is a one-day program that targets the medical oncology and hematology oncology training program director and associate training program director to address their educational and professional development needs. This workshop has been developed to expand the knowledge of program directors by exposing them to best practices from other program directors and medical education professionals. The workshop will provide concrete, real-life examples and templates along with the opportunity to share knowledge and information with peers. This program is critical to providing resources for busy program directors and associate program directors who do not have the time to individually develop all of the tools needed to satisfy the Accreditation Council for Graduate Medical Education (ACGME) Program Requirements. Other areas to be covered include: Financing, Leadership, Quality Improvement, and more. The retreat will feature five didactic presentations with open discussion periods after each presentation for maximum interaction among participants.
Accreditation Statement and CME Credit Designation
The American Society of Clinical Oncology (ASCO) is accredited by the Accreditation Council for Continuing Medical Education to provide continuing medical education for physicians. The American Society of Clinical Oncology designates this live activity for a maximum of 6 AMA PRA Category 1 Credits™. Physicians should claim only the credit commensurate with the extent of their participation in the activity.
Educational Need Statement
In 2008, ASCO administered a training program directors assessment to identify areas of educational and professional development need. Participants of the survey identified challenges faced with increasing workload and lack of external resources used to support their professional needs. Other areas of educational need included challenges in applying knowledge and obtaining best practices information. In efforts to narrow the gaps identified, ASCO developed an Oncology Training Program Directors’ Retreat targeted to hematology/oncology program directors and associate directors. The retreat is designed to address competencies in professionalism, interpersonal skills and communication. In addition, training program directors are burdened by the mandates of the ACGME regarding the training of oncology fellows. ASCO is positioned to provide further assistance to program directors through this retreat focusing on the issues unique to them. ACGME cites time spent in education in its program requirements, particularly encouraging program directors to participate in academic societies and in educational programs designed to enhance training program director’s educational and administrative skills. As in past years, the 2013 Retreat Steering Committee and ASCO’s Oncology Training Programs Subcommittee collaborated in an examination of the most pressing issues facing training program directors today, using the 2008 survey as well as past evaluation data and observations in the field. Educational needs addressed by this retreat will center on graduate medical education financing, improving leadership skills, and quality improvement projects.
Upon participation in this activity, attendees will be able to:
- Describe the key changes in the newly revised and upcoming ACGME regulations, including details with regard to the Next Accreditation System (NAS), the Subspecialty Milestones and Curricular Milestones. Determine how the fellowship program needs to adapt and evolve to effectively align with this new System.
- Produce creative solutions for managing tight budgets.
- Collaborate with other oncology training program directors and associate program directors to share best practices and work toward meaningful outcomes in fellowship programs across academic centers.
- Discuss successful strategies to help fellows complete Quality Improvement projects, and provide ways to best guide fellows in this initiative.
- Generate creative ideas for smaller programs with regard to budget, teaching, innovation and evaluation.
- Create a culture of self-examination and lifelong learning through measurement, feedback and improvement tools for trainees.
- Network with colleagues to build collaborative relationships and projects.
This activity was planned in the context of the following ACGME competencies: Practice-Based Learning and Improvement, Interpersonal and Communication Skills, Professionalism, and Systems-based Practice.
This retreat is designed to address the needs of oncology training program directors, associate program directors, as well as key clinical faculty and teaching faculty, primarily from medical oncology (combined hematology/oncology) programs.

- Log in with your ASCO.org username and password or Meeting badge number. The Meeting badge number is located on the badge and also sent to participants by email
- CME Certificates or Certificates of Participation are available immediately after evaluation submission. Eligibility requirements are indicated below
Physicians (MDs and DOs) must submit an evaluation by, Monday, November 25, 2013 in order to receive CME credit for attending this retreat. Submissions received after the deadline will not be processed.
Attendees will be able to request their CME Certificate or Certificate of Participation after submitting their evaluation. Certificates of Attendance are available for attendees who need a record of their attendance at the Retreat but do not require documentation for continuing education purposes. Please note that this certificate does not award any AMA PRA Category 1 Credit™. An email notification will be sent when certificates are ready for access.

Q: What do I need to complete the Program Evaluation and CME Request?
Users will need their ASCO.org username and password or meeting badge number.
Q: How do I find my Meeting badge number?
This number is listed on the bottom corner of your attendee badge. Participants will also receive an email the day before the meeting with their badge number. Be sure to keep this information handy to access the evaluation.
Q: I have entered my badge number and received an error message indicating that my record cannot be found. How should I proceed?
Please email email@example.com for further assistance regarding your badge number. Once you have acquired this information, please go to evaluations.asco.org to access the evaluation and login.
Q: How do I retrieve my ASCO.org username and/or password?
You can retrieve your username and/or password by selecting the Password option from the Forgot your username and password link on the ASCO.org home page. For other ASCO.org related log in questions, please contact firstname.lastname@example.org or call 888-282-2552.
Q: How do I access the evaluation for Program Evaluation and CME Requests?

Q: Can I access the evaluation through my mobile phone?
Access evaluations at http://www.asco.org/retreat by clicking on Program Evaluation/Certificates or go to evaluations.asco.org. Please note that the evaluation functionality may be limited by your phone’s browser — there is no separate application for this evaluation.
Q: How will I receive my CME certificate or my Certificate of Participation?
Users will be directed to the Registrar’s Office on ASCO University immediately after submitting their evaluation, where they will be able to download their CME Certificate or Certificate of Participation. Users will be able to access their certificates at any time using their ASCO.org login at http://university.asco.org/registrar.
Q: I am in the online evaluation and my screen froze and/or I lost internet connectivity. What should I do?
Be assured that your data is automatically saved as you enter it into the evaluation form, so you’ll be able to pick up right where you left off. In order to update your Evaluation/CME request, log in and complete the evaluation for the remaining sessions that you attended. By clicking Evaluate, you will have access to complete the remaining sessions.
Q: I entered the wrong amount of CME credits for my evaluation. How do I update my evaluation with the appropriate amount of CME credits?
Be assured that your data is automatically saved as you enter Submit you will be able to pick up right where you left off. In order to update your Evaluation/CME request, login and complete the evaluation for the remaining sessions that you attended. By clicking "Evaluate My Sessions", you will have access to complete the remaining sessions and click Revise to fix your CME credit.
Q: Can I fill out the evaluation as I go through the meeting?
Yes, you may fill out the evaluation by individual session. Simply evaluate the session that you just attended. Once you have done so, please select Save Credits and then logout of the system. You may log in again at any point to finish evaluating any of the other sessions.
Q: How can I keep track of my comments and evaluation ratings?
The evaluation rating scale for sessions and speakers is 1 to 5 (1 = Strongly Disagree and 5 = Strongly Agree; 0=Did not attend session). Feel free to enter your evaluations by using your mobile device and entering comments about each session. Access evaluations online at: evaluations.asco.org.
Q: I am unable to access the evaluation due to membership expiration.

Q: What is the deadline for submitting an evaluation or request for credit for the 2012 Oncology Training Program Directors’ Retreat?
Evaluations and CME credit requests must be received by Monday, November 19, 2012.
Q: When will I receive my CME certificate of my Certificate of Participation?
Certificates will be immediately available — users will be redirected to the Registrar’s Office on ASCO University to download their certificate after submitting their evaluation. Access to certificates will be available at any time by using your ASCO.org login at university.asco.org/registrar.
Q: Who can receive CME credit for attending the 2012 Oncology Training Program Directors’ Retreat?
Physicians (MDs and DOs) may receive CME credit by submitting an evaluation.
Q: Can other attendees request a Certificate of Participation?
Yes, non-physicians may request a Certificate of Participation, which may enable non-physicians to apply their Meeting participation hours toward re-licensure. Among the organizations that endorse the use of ACCME-accredited activities toward recertification are:
